Box to SharePoint

In July 2019, we determined that Box would not support our needs and made the decision to migrate the content.

  • For non-online content to which we need to link from our doc sites, the content is now in the Production Server. For now, Pubs Editors has to continue uploading new or revised non-online content to the Production Server.
  • For all other content, that customers do not need to access (like internal docs, drafts, processes), we’ll be using SharePoint. Kate and I are in the process of reviewing the content in Box to see what can be eliminated and perhaps develop a better organization.
    I know many of you have placed content in Box for storage or to share with others in our team. To that end, in SharePoint > Global IX (a private site for IX), I created an IX Shares folder. Inside that folder, you can create a folder with your name and organize your content as you see fit.

For any content that you need to retain and is currently stored in Box, please move the content to the SharePoint folder. I'm checking with IT to see if we have any deadline in terms of access to Box and will let you know.

How to migrate content to SharePoint

If you want to migrate the entire contents of a folder to SharePoint, thus far, the easiest way that Joe determined is as follows:

  1. In Box, select the folder whose contents you want to migrate and click Download. Box will create a zip file of the folder, including subfolders and files. (Note: You can also select multiple folders at the same time to download into one zip.)
  2. Extract the file to your local drive.
  3. Open IX Shares.
  4. Create a folder for yourself in that location.
  5. In that folder, drag the folder that you previously unzipped into your SharePoint folder.

A few points:

  • If you have multiple versions of the same file in Box , when you download from Box it only downloads the latest version. It doesn't download the earlier "Version History" versions. So, if you need them, you have to manually download them and move them to SharePoint.
  • Going forward, for these internal files, please upload files to SharePoint rather than Box.
  • If you not sure about where to migrate certain folders, please contact Joe and Kate.
  • If you need to share files with people outside of IX, please contact Joe. Depending on the number who need this, the solution may be to create another IX SharePoint site that is Public to Genesys people.
