Box to SharePoint

Genesys IT announced 11/21/19 that Box will no longer be accessible starting on January 1, 2019. As communicated previously, we'll be using SharePoint.

As has been occurring since July 2019, for non-online content to which we need to link from our doc sites, the content is in the public folder in the Production Server. Pubs Editors has to continue uploading new or revised non-online content to the Production Server. Also, as of mid-October 2019, we are placing copies of those files in the Genesys Public folder in the Global IX SharePoint site. SharePoint does support version history. However, for those files, it will only include a version history from October onward.

For all other content stored in Box, and that customers do not need to access (like internal docs, drafts, processes), Kate is in the process of moving content and department-wide files to SharePoint. However, she won't be moving content from folder personal folders or any other folders people have created to store or share files.

Important
if you want to retain those files, prior to January 1, 2020, you need to copy those files to SharePoint.

How to copy/content to SharePoint

If you want to retain the entire contents of a folder and add them to SharePoint, the easiest way that Joe determined is as follows:

  1. In Box, select the folder whose contents you want to migrate and click Download. Box will create a zip file of the folder, including subfolders and files. (Note: You can also select multiple folders at the same time to download into one zip.)
  2. Extract the file to your local drive.
  3. Open IX Shares.
  4. Create a folder for yourself in that location.
  5. In that folder, drag the folder that you previously unzipped into your SharePoint folder.

A few points:

  • If you have multiple versions of the same file in Box , when you download from Box it only downloads the latest version. It doesn't download the earlier "Version History" versions. So, if you need them, you have to manually download them and move them to SharePoint.
  • Going forward, for these internal files, please upload files to SharePoint rather than Box.
  • If you need to share files with people outside of IX, please contact Joe. Depending on the number who need this, the solution may be to create another IX SharePoint site that is Public to Genesys people.
